Estate First Lawyers, is a boutique Estates practice delivering high quality estate planning and estate administration solutions to clients wanting sophisticated estate and taxation strategies.

The firm was established in 2009 by founder and Divisional Head, Ann Janssen, who is a QLS accredited specialist in succession law.  The firm now has 11 lawyers and 13 support staff, with 3 accredited specialists in succession law.  We operate from the Toowong Shopping Tower in central Toowong, just outside the CBD.

We are looking for an outstanding Practice Manager who has a passion for excellence and wants to grow and expand their influence in a progressive, quality law firm.  You will work directly with our Divisional Head and our General Manager to keep the firm running smoothly and help with the continuous improvement of the operations.

What you’ll do

  • Oversee and manage the firm’s day-to-day office operations (both lawyers and administrative staff), including workflow/file progression between the firm’s various teams to ensure our standards are maintained.
  • Performance monitoring and reporting, including running weekly/fortnightly and monthly reports in relation to budgets, workflow and other metrics to ascertain blockages, inefficiencies etc that inform the Divisional Head & General Manager’s decisions. Note:  this position does not require you to conduct payroll or manage the trust account
  • Liaising and supporting lawyers with their KPIs
  • Recruiting and conducting annual performance reviews
  • Dialoguing with support staff (Client Care Team, Legal assistant team, Finance team) to ensure smooth and manageable workflow
  • Coordinate suppliers, insurance and IT service providers
  • Various duties related to the administration of the team, including  onboarding, offboarding, co-ordinating training, managing leave, etc
  • In consultation with the Divisional Head and the General Manager, create and implement strategies regarding policies, procedures, workflows and systems

What you bring

  • Minimum 5+ years (ideally 10+ years) in senior operations or practice management roles (law firm or professional services)
  • Proven ability to interpret and create data that informs management decisions
  • Strong on workflows, metrics, organising efficient processes
  • Practical, super organised, thorough and a problem solver
  • Progressive and tech savvy
  • Professional, discreet and demonstrates integrity
  • Ability to communicate with lawyers, administrative staff and service providers to help foster a positive culture aligned to the firm’s values and professional standards
  • Bachelor’s degree in finance/accounting, law or business management is highly valued

Salary

The total salary package is $150,000 - $170,000 (including super) depending on experience and qualifications.

Location

This role is an in-person role at our head office which is conveniently located on level 4 (client reception) and level 10 (head office) of the Toowong 'Blue' Tower, with public transport (bus and train) at the doorstep.  Our staff enjoy the special under cover parking rate of $4 per day.  The shopping centre is conveniently located downstairs.
